Privacy Policy

This policy explains how Church of Christ Vegiripalem (COCVVP) collects, uses, stores and protects information when you use our website, meeting management services and related registration features.

Effective date: 30 October 2026 · Last updated: 30 October 2026
Important: Please read this policy before submitting information through a COCVVP form or using our online services. By using these services, you acknowledge that you have read this policy. Where consent is required, we will request it through the relevant form or service.

1. Who we are

Church of Christ Vegiripalem (“COCVVP”, “we”, “us” or “our”) operates this website and provides church-related information, meeting management, student registration, educational and administrative services.

This policy applies to information collected through our website, online registration forms and related COCVVP digital services that link to this policy.

2. Information we collect

Depending on the service you use and the information you choose to submit, we may collect the following categories of information:

  • Identity and registration details: student or participant name, registration number, group allocation, roll number and related registration details.
  • Contact details: email address and mobile number.
  • Relationship details: relationship type and the name of a parent, guardian or other related person, where requested by a form.
  • Photographs: a profile or identification photograph uploaded as part of a registration, where the form requests one.
  • Account and authentication details: information made available by the sign-in provider, such as a name, email address and provider account identifier, when you choose to sign in.
  • Service and technical information: information needed to operate, secure and troubleshoot the website or service, which may include device, browser, log and usage information collected by the hosting or service providers.
  • Communications: information you include when contacting us or requesting help, correction or deletion.

Please provide only information that is requested and necessary for the relevant church or educational activity. Do not submit sensitive personal information unless the form specifically requests it and you are authorised to provide it.

3. How we use information

We use submitted information for legitimate church, educational and administrative purposes, including to:

  • create and manage registrations and participant records;
  • verify submissions and communicate registration confirmations or important updates;
  • organise students or participants into groups and maintain attendance, examination or activity records where applicable;
  • manage access to the meeting management service and protect accounts;
  • respond to questions, support requests and privacy enquiries;
  • maintain, secure and improve our website and related services; and
  • meet applicable legal obligations and address genuine safety or security concerns.

We do not use registration information for unrelated advertising purposes.

4. Google services and third-party technology

Some COCVVP services use technology provided by Google and other service providers to support hosting, sign-in, data handling and communications. Depending on the feature being used, these services may include:

  • Google Sign-In / Google authentication: if you choose Google sign-in, the sign-in provider shares basic account information permitted by the authorisation screen, such as your name, email address and account identifier, to authenticate you.
  • Firebase Hosting: to make the COCVVP website available online.
  • Firebase services: where enabled in the application, to support authentication, application data, storage, hosting, diagnostics or related functionality.
  • Google Sheets and Google Drive: to support registration administration and the storage or management of submitted registration records and photographs, where those features are used.
  • Email services: to send registration receipts, confirmations or service-related communications where configured.

These providers may process information on our behalf to deliver their services and may also process certain technical information under their own terms and privacy policies. Their handling of information is governed by their respective policies. For more information, see the Google Privacy Policy and Firebase Privacy and Security information.

We request access only to the information and permissions needed for the features you choose to use. You can choose not to use Google sign-in; however, features that require authentication may then be unavailable.

5. Sharing and disclosure

We do not sell personal information. We may disclose information only when reasonably necessary for the purposes described in this policy, including:

  • to authorised COCVVP administrators or coordinators who need the information to manage registrations, groups, classes or related activities;
  • to technology providers that process information on our behalf to operate the services described above;
  • when required by applicable law, a valid legal process or a lawful request from a competent authority; or
  • when necessary to protect the rights, safety and security of participants, COCVVP or others.

We aim to limit access to personal information to people who need it for an authorised church or administrative purpose.

6. Storage and security

Information is stored using the systems configured for the relevant COCVVP service. These may include Google-managed services such as Google Sheets, Google Drive and Firebase.

We take reasonable administrative and technical steps intended to protect information against unauthorised access, alteration, disclosure or loss. These steps may include access controls and limiting administrative access to authorised personnel. No website, internet transmission or electronic storage method can be guaranteed to be completely secure.

You are responsible for keeping your sign-in credentials and devices secure and for notifying us if you believe your account or information has been accessed improperly.

7. Data retention

We retain personal information for as long as reasonably necessary to provide the relevant service, maintain church and educational records, complete administrative activities, resolve disputes and meet applicable legal or record-keeping obligations.

Retention periods may differ depending on the type of record and the purpose for which it was collected. When information is no longer required, we will take reasonable steps to delete it or otherwise dispose of it, subject to applicable obligations and legitimate record-keeping needs. Copies may remain for a limited period in service-provider backups or system logs.

8. Children and student information

Some COCVVP activities and registration services may involve children or students. Where a participant is a child, a parent or legal guardian should complete or authorise the submission of the child's information, as appropriate, and should provide only information necessary for the activity.

We use student information for registration, class or group administration, educational activities and related communication. We do not knowingly ask children to provide information for unrelated commercial purposes. A parent or guardian who has a concern about information submitted for a child may contact us using the details below.

9. Your choices and privacy requests

Subject to applicable law and legitimate church or record-keeping requirements, you may contact us to:

  • ask what personal information we hold about you or a child for whom you are the parent or legal guardian;
  • request correction of information that is inaccurate or incomplete;
  • request deletion of information that is no longer required or that we are not required to retain; or
  • ask questions about how information is used or request help with an account.

To protect individuals, we may need to verify your identity or your authority to make a request before taking action. Some information may need to be retained where required for legal, security, safeguarding or legitimate administrative reasons.

You can stop using a service at any time. You can also review or revoke third-party account permissions through the relevant provider's account settings; doing so may prevent features that rely on that permission from working.

10. Cookies and web technologies

The website or its hosting and authentication providers may use cookies, local storage or similar technologies that are necessary for basic website operation, security, session management or sign-in. Browser settings may allow you to control cookies, but disabling them may affect some website features.

This policy does not claim that the website uses advertising cookies or analytics tools unless those tools are specifically enabled in the deployed service.

11. Changes to this policy

We may update this policy when our services, data practices or applicable requirements change. The revised policy will be published on this page with an updated effective or “last updated” date. We encourage you to review this page periodically.
